Rental agreement
Terms & Conditions
Version CER-2026-10-19-v1. October 19, 2026 — for new agreements expressly issued with this version after its activation in Goodshuffle.
This version applies only to new agreements expressly issued with it after activation in Goodshuffle. Existing signed agreements remain unchanged.
1. Agreement and reservation
- Creative Event Rentals ("CRE") provides equipment under the accepted Goodshuffle quote, this version of the rental agreement, selected payment and cancellation terms, and expressly agreed event addenda. A website quote request does not reserve equipment or take payment. Staff confirms availability and the order after the required agreement and payment steps.
- This version applies only to new agreements expressly issued with this version after its approved effective date. Website updates do not amend existing signed agreements, payments or purchased insurance. Review all policies on your quote and ask us to correct inconsistencies before signing. Website summaries do not override the signed agreement or the insurance policy.
2. Payments and rental dates
- The current standard Goodshuffle payment policy requires 50% on signature and the balance seven calendar days before the earliest receipt of goods or performance of services. Your quote shows the actual due date, which may be earlier than seven days before your event when delivery or installation happens first. If booking on or after that due date, the full amount is due at booking unless a different payment arrangement is expressly agreed on the quote. Payment timing is separate from the event-based cancellation windows below.
- All payments are credited to the order and any cancellation settlement. The initial payment is retained under the standard cancellation schedule, subject to the safety relief below; it is not an additional charge on top of total cancellation liability.
- Most equipment is priced by the day. A standard Friday pickup or delivery through Monday return or collection is one daily equipment rental charge. Use real event dates; handover and return are confirmed separately. Delivery/collection, optional labor, and applicable taxes or fees are additional. Unusual or extended schedules are quoted individually.
- The quote records actual event start and equipment handover/return times. Cancellation windows are measured in elapsed hours before the agreed event start in America/New_York, including daylight-saving changes. CRE manually reconciles cancellation settlements under this agreement; cancellation percentages are not automatic payment instructions.
- Additional services and charges must be disclosed in the accepted agreement or separately authorized. Damage or loss claims will be documented and itemized. A website inquiry does not authorize a card charge. Any additional card charge requires separate customer authorization; this agreement does not grant blanket authorization to charge a stored card.
3. Cancellations and item removals
- Send cancellations and item-removal requests in writing to sales@creativeevent.rentals. The time received determines the window; keep our acknowledgment and contact us if you do not receive it.
- For standard cancellations, total liability is 50% more than 6 days before the event, 62.5% more than 24 hours and up to 6 days before the event, and 100% at 24 hours or less. All deposits and payments count toward that total; these percentages are not additional fees. The same tiers apply to removed standard items. Tents canceled inside 14 days owe 100% of the tent rental value; disclosed custom orders are non-refundable once committed. Safety cancellations by CRE follow the separate relief provision in the complete agreement.
- Apply one cancellation rule to each affected line. Do not add the general percentage on top of the tent or custom-order charge. Exactly 14 days follows the standard schedule. Identify non-refundable custom orders and their committed amounts on the accepted quote before committing them.
- For partial removal, the remaining order continues at its agreed price. Allocate prior payments to the revised order and cancellation amount once; do not retain the same deposit again. Cancellation liability for an affected line never exceeds its agreed value. Taxes and separately governed insurance premiums are reconciled separately, not silently treated as additional penalties.
- Example: a standard $1,000 full-event cancellation at 36 hours owes $625 total. With $500 paid, $125 remains; with $1,000 paid, $375 is excess to return. At 24 hours or less, total liability is $1,000 less payments received. Special-item exceptions must be reconciled line by line.
- We provide an itemized settlement and return excess payments due under the agreement. A future-rental credit is used only with the customer's agreement. Applicable refunds are processed within 7–10 business days after settlement is confirmed; banks may take additional time. Insurance premium refunds follow the provider's terms. No cancellation authorizes duplicate collection.
4. Weather, safety and force majeure
- Ordinary rain, a changed forecast or a customer's decision not to proceed follows the cancellation schedule. Contact us promptly about unsafe conditions. Tents are not storm shelters. Follow equipment-specific instructions, evacuate when unsafe, and do not alter anchoring or move/dismantle installed equipment yourself.
- CRE may decline, pause or stop unsafe installation, use or collection. Suitability depends on the equipment, manufacturer instructions, site and conditions. No general wind speed guarantees safe use or automatically voids the agreement.
- When CRE cancels affected undelivered equipment for safety or force majeure, refund that equipment and undelivered services, or provide a 12-month credit if the customer chooses, subject to availability. Disclosed, documented nonrecoverable custom-order costs remain payable. This relief overrides ordinary tent cancellation liability for the affected undelivered equipment. Reconcile services already performed and unaffected equipment separately, without duplicate charges.
5. Will-call, delivery, collection and labor
- Eligible will-call pickup and return are Monday–Friday, 9 AM–4 PM, at confirmed times, with no separate will-call service fee. Staff confirms eligibility per item. Installed tents, stages, arbors and other crew-required items must be delivered and installed by our team.
- One combined flat-plus-mileage service charge covers delivery and collection and is itemized on the quote. Returning delivered equipment yourself does not reduce it; when we deliver, we also collect. Delivery appointments are confirmed separately from event dates.
- Required installation/removal is included in the rental rate of crew-required equipment. Optional chair/table setup only, breakdown only, or both are separately quoted paid services. Required installation is not charged again as optional setup.
- Disclose access restrictions, stairs, long carries, loading limits, timed windows and holidays before quoting. Special access, waiting, after-hours service, unprepared sites and additional visits may require separately itemized charges. Agree changes with staff.
6. Site, use, condition and return
- Provide safe, clear access and accurate site information. Coordinate permits, permissions and utility locating with our crew and responsible authorities before installation. Confirm responsibility for each site task in the event plan; site suitability requires crew review.
- Use equipment as instructed and within its limits. Do not cook or use open flames under tents, attach materials to tent fabric, alter installed equipment, move it off the agreed site or lend it without approval. Stop using unsafe items and promptly report damage, loss or an accident.
- Inspect accessible equipment at handover with our crew or an authorized representative and report problems promptly. A receipt documents delivery and observed condition; it does not represent an inspection that did not occur.
- Return items on time in the instructed packaging and condition, allowing ordinary wear from proper use. Safeguard equipment until handover. Arrange extensions with staff. Late equipment return may incur an additional daily equipment charge, separate from overdue-account interest. Cleaning, missing packaging, damage and replacement claims must be itemized.
7. Damage, loss and optional insurance
- You remain responsible under your agreement for loss, theft and damage while equipment is in your custody, excluding ordinary wear. Repair/replacement claims will be documented and itemized. We inspect returns and aim to notify you of identified damage within 10 days. Contact us promptly with questions about condition or charges.
- Our internal damage waiver is retired for new agreements using this policy version. Optional third-party event insurance may be offered through Goodshuffle. Event liability insurance does not automatically insure rented equipment: equipment coverage requires an additional optional premium and has eligibility rules, limits, deductibles and exclusions. Tents are currently excluded by the provider. Do not assume stages, dance floors, crew handling or the entire Friday–Monday rental period are covered. Read the actual policy and confirm equipment and dates with the provider. Buying or declining insurance does not remove your rental obligations.
- CRE does not guarantee insurance eligibility, coverage dates, claims or proceeds. Any insurance recovery is credited against the same loss without double recovery. Ask the provider about valuation, deductibles, coinsurance, transportation, installation and total equipment value. Never change actual event dates to obtain a price or assumed coverage.
8. Liability, disputes and separate permissions
- Each party remains responsible as required by law for its own conduct. The customer is responsible for third-party claims to the extent caused by the customer's negligent or wrongful equipment use; CRE's own negligence is not transferred to the customer.
- Monetary balances overdue more than 10 days, distinct from late equipment return, may accrue interest at the lesser of 1.5% monthly or the lawful maximum, without duplicate interest. Collection costs may be sought only as permitted by the accepted agreement and law. Disputed charges are escalated for review.
- Tennessee law governs, with venue in Knox County subject to applicable law. If a provision is unenforceable, the remainder continues to the extent permitted by law.
- Rental acceptance does not grant photo or marketing permission. Photo sharing for marketing is optional and uses separate affirmative versioned consent. A Google review is not permission to republish photos. Personal information and contact choices are covered by our separate Privacy Policy.
